Nimbo Logbook is provided by Nimbosoft Ltd (“we”), company number 17482585. This explains what personal information the service holds and why.
Who is responsible
For the records an organisation keeps in Nimbo Logbook (its people, checks, visitors, hirers and accident book), that organisation is the data controller and we process the information on its behalf. For account and billing details of the person who signs up, we are the controller.
What we hold
- Names, email addresses and phone numbers of the people an organisation adds.
- Records of checks, problems, visits, hires, policy signatures, certificates and photos uploaded to them.
- Accident book entries, which may include health information. Only the organisation’s owners and safety leads can see them.
- Sign-in records: a cookie that keeps you signed in, and when you last used the service.
- Billing details are handled by Stripe. We never see or store card numbers.
Why
To provide the service the organisation has signed up for: keeping its safety records, sending reminders and sign-in links, and taking payment.
Who else sees it
Stripe (payments), our email provider (sending emails), our hosting provider, and Anthropic, whose AI reads a fire risk assessment or certificate only when you ask us to. We don’t sell information or use it for advertising.
Cookies
Only the cookies needed to keep you signed in and remember the building you were looking at. No tracking or advertising cookies.
How long
For as long as the organisation keeps its account, then up to 90 days after it closes, unless the law requires longer. Organisations can ask for their records to be exported or deleted.
Your rights
You can ask to see, correct or delete your information. For records held by an organisation, ask them first; we’ll help them. Email info@nimbosoft.co.uk. You can also complain to the Information Commissioner’s Office (ico.org.uk).
